EarlyON Centres offer free high-quality programming for families and children age 0 to 6. EarlyONs provide child and family centred programs and services that are consistent at all locations around Ontario, but also meet the unique needs of the families who attend each program.
EarlyON Centres have to provide quarterly reports of attendance to the Ministry of Education. In the past, this data was captured on paper and left up to the Data Analysis Coordinator (DAC) to transcribe the information onto an Excel spreadsheet. Not only did they need to calculate visits, they also had to identify how many parents and children made a first visit.
All of the information required by the Data Analysis Coordinators for their reporting and planning is now captured electronically with a swipe of a key-tag saving hours of time for the DAC
We created KEyON as their digital sign-in software. Having this system also allows us to grab more information to ensure the best possible planning for the future needs of the centres in the districts we serve.
We compare EarlyON Centre visitors with the local population of children to determine:
We also examine visitor data to gain insights on:
These types of insights are extremely valuable to the region administrators who are looking to optimize efficiency and maximize the number of visits the EarlyON Centres receive.
“EarlyON | Waterloo Region has been using the KEyON system since 2019. SSMIC worked alongside of us to ensure that training and guidelines were provided and understood by all team members. They were receptive and quick to implement changes to the system that we requested. This enabled us to best meet the needs of our families (i.e. changing the security questions to accommodate rural families) when barriers were identified in KEyON being used universally with all families. With the announcement of the Ministry of Education that EarlyON Child and Family Centres were to reopen with pre-registration in place, SSMIC quickly adapted to this new expectation and rather than putting a system in place that would not work for those “on the ground floor," they invited EarlyON leads from across Ontario who are (and will be) using the KEyON system to form a working group to provide direction, testing and suggestions for the new pre-registration system. With EarlyON leads a part of this process, it ensures that KEyON will continue to meet the needs of families and EarlyON teams as our doors reopen. If you are not already using KEyON, we highly recommend the KEyON system and the SSMIC team. They have been amazingly supportive, flexible, and quick to respond to the changing needs of our EarlyON realities.”
